Overview of access levels

 

Different apps have different levels of access and we know this can be daunting at first. Here is a detailed explanation of each level and the functionality it unlocks when selected. 

 

Onboard

Admin 

  • Full access to grant permissions to the Onboard application.

  • Ability to add new users to Limeade Listening and grant permissions to Onboard.
    Onboard menu item appears in the top navigation in Limeade Listening for dashboard access.

  • View all Onboard survey responses with full access to the Dashboard, Responses, and People modules in Onboard.

  • View Onboard data for the entire organization on the Organization Health report. 

Manager: Permissions are granted automatically when they are assigned a direct report in Limeade Listening who receives an Onboard survey. If there are managers who never have direct reports who are set to receive Onboard surveys, these managers will never have access to Onboard.

  • No access to grant permissions to Onboard. 

  • No access to add new users to Limeade Listening

  • Onboard menu item appears in the top navigation in Limeade Listening for dashboard access. 

  • Access to view responses in the Onboard Responses module for their direct reports only. 

Employee: Automatic permission for users who are put into the Onboard survey flow (when added to Limeade Listening with the Onboard checkbox selected). 

No access: Applied for all employees who were never put into the Onboard survey flow. 

  • No access to Onboard pulse surveys.

  • No access to Onboard menu item in Limeade Listening

 

Engage

Super Admin: This is a unique permission which also grants full access to your TINYpulse account. This access level should be reserved to as few people as possible, ideally only those who should have access to your billing info and invoices, as well as overall app permissions like your system timezone. 

  • Add new users to Limeade Listening, modify user accounts, and grant permissions to Engage

  • Full access to Limeade Listening account (billing, invoices, Limeade Listening giftcard transactions, etc.)

  • Adjust organization-wide Engage settings like the Employee Portal, survey cadence, etc.

  • View Engage and Cheers data for the entire organization on the Organization Health report

  • View the full Organization Hierarchy

  • Create and manage API keys

  • All Admin and Receiver permissions

Admin

  • View and interact with all Limeade Listening Engage results (Responses, Suggestions, Cheers, leaving Comments/Notes, create Shareback Reports, and more)

  • Manage Limeade Listening surveys

  • Add new users to Limeade Listening, modify user accounts, and grant permissions to Engage

  • Adjust organization-wide Engage settings like the Employee Portal, survey cadence, etc.

  • Manage Saved Groups and Attributes

  • Add users to Limeade Listening and adjust permissions to Engage

  • View Cheers data for the entire organization on the Organization Health report

  • View the full Organization Hierarchy

  • All Receiver permissions

Group Admin: These Admins are assigned to one or many specific Groups in User Management. This gives them access only to those particular Saved Groups in Engage. 

  • View and interact with Limeade Listening Engage results only for the Saved Group(s) they have been assigned to (Responses, Suggestions, Cheers, leaving Comments/Notes, add an In-Progress item or Suggestion to the Wins Board, create Shareback Reports, and more)

  • View employee profiles of direct reports (no access to add new direct reports or edit existing direct reports’ profiles)

  • No access to add users to Limeade Listening, manage Saved Groups, Attributes, or surveys

  • All Receiver permissions

Group Viewer: Admins can be assigned to a specific Saved Group to view results or leave the option blank to give access to view all Engage survey feedback. 

  • View feedback for specific Saved Group or the entire organization depending on set restrictions. 

  • No access to interact with feedback (cannot send private messages, leave a Comment/Note, Tag, add a Win, create a report, etc.)

  • Access is view-only

  • View employee profiles of direct reports (no access to add new direct reports or edit existing direct reports’  profiles)

  • No access to add users to Limeade Listening, manage Saved Groups, Attributes, or surveys

  • All Receiver permissions

Employee: 

  • View employee profiles of direct reports (no access to add new direct reports or edit existing direct reports’ profiles)

  • Respond to the Engage survey, send Cheers, and give suggestions

  • Access to the Employee Portal to view all Suggestions, vote, leave a Comment, view past Responses, and see a live Cheers feed (all of these options are subject to the setting the Super Admin and Admin have set)

 

Coach

Admin

  • Add new users to Limeade Listening, modify user accounts, and grants Coach access to any user

  • Create saved custom questions and templates in 360 for all Coach Admins and Managers

  • Set up 1-on-1s and assign managers for their users

  • View the Admin-only reports

  • All Manager and Employee permissions

Manager

  • Set Goals for their direct reports

  • Create and view 1-on-1s for their direct reports

  • Request 360 anonymous/non-anonymous 360 feedback for direct reports

  • Create saved custom questions and templates in 360 feedback and access to Coach Admins' saved custom questions and templates

  • All Employee permissions

Employee

  • Set personal Goals

  • Respond to 1-on-1 surveys

  • Request 360 feedback for themselves

 

Retention

Due to the sensitive nature of exit data, access to this dashboard should be reserved for a very limited number of people in key roles, such as CEOs, HR, managers, etc.

 

Admin

  • Grants full access to view insights on the Limeade Listening Retention dashboard 

  • View Retention data for the entire organization on the Organization Health report

No Access

  • No access to view the Retention dashboard, but Admins and Managers of other apps can enter exit data for employees who have left the company


How to edit user permission


Settings
 is your one-stop shop for setting permissions for all Limeade Listening apps. This article will help you understand how to grant permissions to each Limeade Listening app and what each level means. 

 

(i) You must have Admin or Super Admin permissions in the Limeade Listening module in which you want to grant permissions in order to elevate access of other Limeade Listening users.

 

Adding a user to Limeade Listening will automatically grant them the lowest level of access to each Limeade Listening app, and administrators of each module can then grant them higher levels of access if needed. If your organization is a special case that does not have the full Limeade Listening suite enabled, you will only see your enabled apps in the list. The images below show permissions for the suite, but the process is the same no matter your configuration.

 

Here is how you can adjust access and permissions for your Limeade Listening users:

 

1. Log in to Limeade Listening, select Settings, and go to the User Management page.

  

2. Find the user you want to grant permissions to in the user list. Either use the search box to search by name or scroll through the list to find them. 

 

3. Click on the user's name (in blue) or three dots to the far right of the user's row in the list and select Profile

 

 

4. Scroll down to App Permissions and click on the three dots to the right of the permission you would like to edit


 

5. Assign higher permissions to the apps you wish by clicking the corresponding button.

 

 

6. Click Update to save. 


Manage Admins

 

If you are looking for a quick way to audit admin permissions, go to the User Management page in Settings and select the Admin permissions from the Role dropdown. Here is where you can see all users with a permission level higher than Employee.

 


Manage direct reports

 

As an Admin, we encourage you to set up employee/manager relationships to better group people for different views of your data. Here are some ways you can establish these connections:

  • On the Add People page when adding new users to Limeade Listening
  • In the employee's profile
  • In the manager's profile

However you decide to associate employees with managers in Limeade Listening, be aware that only users with Admin or Super Admin permissions can perform this action. Users with the below levels of access can view the profiles of direct reports that have been assigned to them in Limeade Listening, but they cannot make any changes to their direct reports' profiles: 

  • Engage Group Admin
  • Engage Group Viewer
