Manage Progress Plans

Do you have a Progress Plan already in place that you would like to edit? Good news! Progress Plans are quick and easy to update. There are multiple ways you can manage an existing Progress Plan: 

  • Modifying an Existing Progress Plan: Edit, Complete, Reopen, Archive, Unarchive and Delete
  • Customize a Progress Plan: Add Surveys, Edit Primary Metrics, and Remove Questions from a Plan

Modify an Existing Progress Plan

Edit a Progress Plan

The editing function allows you to modify the progress plan's basic details, including color code, plan name, and plan details.

1. Click on the Progress Plan page in the left navigation menu.

2. Find the Active Progress Plan you would like to edit, click on the three dots icon at the top right of the plan, and select Edit

( ! ) Editing is only available to Active plans. If a plan is Completed or Archived, you need to Reopen or Unarchive it before editing it.

3. In the editing stage, you can edit the color code, plan name, and plan description.

4. Click on Save then the plan will be automatically updated.


Complete a Progress Plan

Want to close a Progress Plan before it is scheduled to end while keeping the historical data? Read on!

1. Click on the Progress Plan page in the left navigation

2. Find the Active Progress Plan you would like to complete, click on three dots icon the the top right of the plan, and select Complete.


3. A popup will ask if you are sure that you would like to complete the Progress Plan. Click Complete again, and your Progress Plan will be completed. 

Once a plan is completed, it will stop collecting data and trending for added surveys but does not close the surveys. Future surveys will still be sent as scheduled. To close the surveys, you need to go to the Manage Surveys page.

Reopen a Progress plan

If you have already completed a Progress Plan, you can choose to Reopen it at any time.

1. Click on the Progress Plans page in the left navigation.

2. In the Completed section, find the Progress Plan you would like to reopen, click on the three dots in the top right of the Progress Plan, and select Reopen.

3. A popup will ask if you are sure that you would like to reopen the Progress Plan. Click Reopen again, and your Progress Plan will be active.

Once a plan is reopened, it will start collecting data and trending for added surveys.

Archive a Progress Plan

If you have an Active or Completed plan that you want to clear from the Progress Plan homepage but still want to preserve historical data, you can choose to Archive it anytime.

1. Click on the Progress Plans page in the left navigation.

2. In the Active or Completed section, find the Progress Plan you would like to archive, click on the three dots in the top right of the Progress Plan, and select Archive.

3. A popup will ask if you are sure that you would like to archive the Progress Plan. Click Archive again, and your Progress Plan will be archived. 

Once a plan is archived, it will stop collecting data and trending for added surveys but does not close the surveys themself. Future surveys are still be sent as scheduled. To close the surveys, you need to go to the Manage Surveys page.

Unarchive a Progress Plan

If you have an archived plan that you want to restore, you can remove it from the archive.

1. Click on the Progress Plans page in the left navigation.

2. In the Archived section, find the Progress Plan you would like to restore, click on the three dots in the top right of the Progress Plan, and select Unarchive.

3. A popup will ask if you are sure that you would like to archive the Progress Plan. Click Unarchive again, and your Progress Plan will be restored to either the Active or Completed section. 

Delete a Progress Plan

Do you have a Progress Plan that you have changed your mind about asking? You can permanently delete a Progress Plan in a few short steps.

1. Click on the Progress Plans page in the left navigation.

2. Find the Progress Plan you would like to delete, click on the three dots in the top right of the Progress Plan, and select Delete.

3. A popup will ask if you are sure that you would like to delete the Progress Plan. Click Delete again, and your Progress Plan will be permanently deleted from the Progress Plan homepage.

Once a plan is deleted, the surveys added and their responses will still remain in Engage Responses and Manage Surveys page.


Customize Progress Plan

Add Surveys 

If you have surveys with relevant data with any progress plan, you can add it to the plan anytime along the way. There are two ways you can add surveys to the plan.

Option 1 - Add surveys from the Progress Plan details page

1. Click on the Progress Plans page in the left navigation.

2. Find the Progress Plan you would like to add the surveys, click on the Progress Plan then select Plan Management tab. 

3. Click on Add Survey button and follow the "Add Surveys to the Progress Plan" steps.

Option 2 - Add surveys from the Survey details page 

1. Click on the Surveys > Engage page in the left navigation menu and select either Responses or Manage Surveys. You can choose to add any active, future or past surveys to the Progress Plan. 

2. Find the surveys you would like to add to the plan, click on the survey then click on Add to Progress Plan button. 

3. Select how you want to add the surveys to existing Active plan(s) or a new plan. 

In this step, you can select multiple plans and choose to add single, parts or multiple surveys if your survey is a repeat cadence. Otherwise, you can create a new plan and quickly add your selecting survey(s) to it. Have a look at the "Create a Progress Plan" Help Doc for more details. 

4. Click on Add or Save button and your survey(s) are successfully added to selecting plan(s)!

Edit the Primary Metric

If your organization initiative evolves along the way, you may want to update your plan's Primary Metric to adapt.

1. Click on the Progress Plans page in the left navigation.

2. Find the Progress Plan you would like to add the surveys to, click on the Progress Plan, then select the Plan Management tab.

3. Find the Primary Metric section and click the Edit button. 

4. Edit the Primary Metric name and select a different set of questions for the Primary Metric. 

5. Click the Save button and your primary metric will be recalculated with your new setup! 

Remove questions from a Progress Plan

If you find that some of the questions are no longer relevant to your plan initiatives, you can remove the questions from the Progress Plan to keep it more inline with evolving objectives.

1. Click on the Progress Plans page in the left navigation.

2. Find the Progress Plan you would like to edit, click on the Progress Plan then select the Plan Management tab.

3. Find the question you want to remove from the plan and click the X button. (You can only remove 1 question at a time.

4. A popup will ask if you are sure that you would like to remove the question. Click on Remove again, then your question will be moved out of your selecting section. 

In this step, if your removed question is one of the Primary Metric questions, it will be moved to the Additional Question section and your Primary Metric will be recalculated. If your removed question is in the Additional Question section, it will be moved to the Removed Questions section and will no longer display in the Progress Plan page.

( ! ) NOTE: If you remove all of the questions in a survey from the progress plan, the survey will be removed from the plan and its data will no longer be collected.

Restore Questions to a Progress Plan

If you accidentally remove a questions from your Progress Plan, don't worry; you can restore it to the Progress Plan anytime.

1. Click on the Progress Plans page in the left navigation.

2. Find the Progress Plan you would like to edit, click on the Progress Plan then select the Plan Management tab.

3. Find the Removed Questions section at the bottom, select the question you want to restore to the plan and click the three dots icon.

4. Select Progress Plan's section to add your questions back to.

In this step, you have two options:

  • Add to Primary Metric: This option is only available if your selecting question is from a survey which have Primary Metric questions. Adding question to Primary Metric will make the Primary Metric recalculated.
  • Add to Additional Questions: Adding question to Additional Question will start collecting data and trending for that question in the Progress Plan.

5. After selecting the option, the question will be successfully added back to the Progress Plan!
