Users and Settings is your one stop shop for setting permissions for all TINYpulse apps. This article will help you understand how to grant permissions to each TINYpulse app and what each level means. 


(i) You must have Admin or Super Admin permissions in the TINYpulse module in which you want to grant permissions in order to elevate access of other TINYpulse users.

Set permissions


Adding a user to TINYpulse will automatically grant them the lowest level of access to each TINYpulse app, and administrators of each module can then grant them higher levels of access if needed. If your organization is a special case that doesn't have the full TINYpulse suite enabled, you'll only see your enabled apps in the list. The images below show permissioning for the suite, but the process is the same no matter your configuration.


Here's how you can adjust access and permissions for your TINYpulse users:


1. Log in to TINYpulse and go to Users and Settings by clicking the icon in the right of the top navigation. 


2. Find the user you want to grant permissions to in the All People user list. Either use the search box to search by name or scroll through the list to find them. 


3. Click on the three dots to the far right of the user's row in the list and select Profile



4. Scroll down to App Permissions and click Edit


5. Assign higher permissions to the apps you wish by clicking the radio buttons.



6. Click Update to save. 


Users will receive an email notification of the update and they'll have access to the new apps or higher permissions the next time they log in to TINYpulse. 



Manage Admins


If you're looking for a quick way to audit admin permissions, go to Users and Settings and click over to the Manage Admins tab on the main People list. Here's where you can see all users with at least admin permission and even use the filter at the top to view by specific TINYpulse app.



Overview of access levels


Different apps have different level of access and we know this can be daunting at first. Here's a detailed explanation of each level and the functionality it unlocks when selected. 


Onboard



Admin

  • Full access to grant permissions to the Onboard application.
  • Ability to add new users to TINYpulse and grant permissions to Onboard.
    Onboard menu item appears in the top navigation in TINYpulse for dashboard access.
  • View all Onboard survey responses with full access to the Dashboard, Responses, and People modules in Onboard.
  • View Onboard data for the entire organization on the Organization Health report. 

Manager: Permissions are granted automatically when they are assigned a direct report in TINYpulse who receives an Onboard survey. If there are managers who never have direct reports who are set to receive Onboard surveys, these managers will never have access to Onboard.

  • No access to grant permissions to Onboard. 
  • No access to add new users to TINYpulse. 
  • Onboard menu item appears in the top navigation in TINYpulse for dashboard access. 
  • Access to view responses in the Onboard Responses module for their direct reports only. 

Employee: Automatic permission for users who are put into the Onboard survey flow (when added to TINYpulse with the Onboard checkbox selected). 

  • Receive and respond to Onboard pulse surveys via email or www.app.tinypulse.com. Onboard menu item appears in the top navigation in TINYpulse for access to the Onboard survey page to respond to pulses or view their past responses. 
  • Access to LIVEpulse to send Cheers, give anonymous suggestions, and view and interact with the suggestions feed if your organization has it enabled.

No access: Applied for all employees who were never put into the Onboard survey flow. 

  • No access to Onboard pulse surveys.
  • No access to Onboard menu item in TINYpulse. 


Engage



Super admin: This is a unique permission which also grants full access to your TINYpulse account. This access level should be reserved to as few people as possible, ideally only those who should have access to your billing info and invoices, as well as overall app permissions like your system timezone. 

  • Add new users to TINYpulse, modify user accounts, and grant permissions to any TINYpulse module. 
  • Full access to TINYpulse account (billing, invoices, timezone, industry, etc.)
  • Adjust org wide Engage settings like LIVEpulse, survey cadence, etc.
  • View Engage and Cheers data for the entire organization on the Organization Health report. 
  • View the full Organization Hierarchy. 
  • All Admin and Receiver permissions. 

Admin

  • View and interact with all TINYpulse Engage results (responses, suggestions, Cheers, commenting, add a win, create share back reports, and more). 
  • Manage TINYpulse questions. 
  • Add new users to TINYpulse, modify user accounts, and grant permissions to Engage. 
  • Adjust org wide Engage settings like LIVEpulse, survey cadence, etc.
  • Manage segments and filters. 
  • Add users to TINYpulse and adjust permissions to Engage. 
  • View Cheers data for the entire organization on the Organization Health report. 
  • View the full Organization Hierarchy.
  • All Receiver permissions.

Segment admin: These admins are assigned to one or many specific segments in Manage Users. This gives them access only to those particular segments in Engage. 

  • View and interact with TINYpulse Engage results only for the segment(s) they've been assigned to (responses, suggestions, Cheers, commenting, add a win from the Engage dashboard, create share back reports, and more). 
  • View employee profiles of direct reports (no access to add new direct reports or edit existing direct's profiles). 
  • No access to add users to TINYpulse, manage segments, filters, or questions. 
  • All Receiver permissions.

Viewer: Admins can be assigned to a specific segment to view results or leave the segment blank to give access to view all Engage survey feedback. 

  • View feedback for specific segments or the entire org depending on segment restrictions. 
  • No access to interact with feedback (cannot send private messages, comment, tag, add a win, create a report, etc.). 
  • Access is view-only. 
  • View employee profiles of direct reports (no access to add new direct reports or edit existing direct's profiles). 
  • No access to add users to TINYpulse, manage segments, filters, or questions. 
  • All Receiver permissions.

Employee: 

  • View employee profiles of direct reports (no access to add new direct reports or edit existing direct's profiles). 
  • Respond to the Engage survey, send Cheers, and give suggestions. 
  • Access LIVEpulse to view all suggestions, vote, comment, view past responses in their Inbox, and see a live Cheers feed (all of these options are subject to setting the Super Admin and Admin have set). 


Coach



Admin

  • Add new users to TINYpulse, modify user accounts, and grants Coach access to any user. 
  • Full access to the entire company hierarchy in the Org Chart. 
  • View goals for all users via the Org Chart (no access to edit, archive, complete, or delete goals for users who do not report directly to them). 
  • Run Snapshot reports for any team or individual in the org. 
  • All Manager and Employee permissions. 

Manager

  • Update information and deactivate direct reports (email address, manager, start date, and enter exit data). 
  • Set Team Goals for their direct reports. 
  • Rate goals, give coaching feedback, view ratings and comments of direct reports.
  • No access to edit Individual goals for their direct reports. 
  • Request 360 anonymous/non-anonymous 360 feedback for direct reports. 
  • View all users below them in the Org Chart. 
  • View goals for any user below them in the hierarchy via the Org Chart. 
  • Run Snapshot reports for their team or any one of their direct reports.
  • All Employee permissions. 

Employee

  • Set personal goals, rate, and raise roadblocks to their manager. 
  • Add to-dos to each goal.
  • Request non-anonymous 360 feedback for themselves. 
  • Attach PerformSync emails, 360 feedback, and Cheers to goals.


Retention


Due to the sensitive nature of exit data, access to this dashboard should be reserved for a very limited number of people in key roles, such as CEOs, HR, managers, etc.


Admin:

  • Grants full access to view insights on the TINYpulse Retention dashboard. 
  • View Retention data for the entire organization on the Organization Health report.

No Access: No access to vie the Retention dashboard, but admins and managers of other apps can enter exit data for employees who have left the company. 


Manage direct reports


As an admin, we encourage you to set up employee / manager relationships to better group people for different views of your data. Here are some ways you can establish these connections:


  • On the Invite page when adding new users to TINYpulse.
  • In the employee's profile.
  • In the manager's profile. 


However you decide to associate employees with managers in TINYpulse, be aware that only users with Admin or Super Admin permissions can perform this action. Users with the below levels of access can view the profiles of direct reports that have been assigned to them in TINYpulse, but they cannot make any changes to the list.
